ADMISSION POLICY – INTERSEN PHASE
GRADE 4 – 7
The following document clearly outlines the procedure that is followed for learners applying to enter the InterSen Phase at St Thomas Aquinas School.
- All processing of personal information must take place in a lawful and ‘reasonable’ manner that does not unnecessarily infringe on the privacy of the data subject (s9) of the POPIA. Personal information must be collected especially for the specific needs of admissions and the data subject (parents/learners) should be made aware of this purpose.
FOR HIGH SCHOOL LEARNERS:
Each learner and his/her parents/guardians are required to familiarise themselves with this document. A separate page with contact information is required to be completed, signed and returned to the register teacher within one week of having received this document.
This document should be kept in a safe place by the learner for reference purposes.
Information Required
- Personal information needed to process the admission policy for the InterSen Phase may only be followed through on one or more of the following 6 grounds –
- If consent is given (consent may however be withdrawn);
- If processing is necessary to carry out actions for the conclusion or performance of a contract to which the data subject is a party;
- If the processing complies with an obligation imposed by law on the responsible party;
- If processing protects a legitimate interest of the data subject;
- If processing is necessary for the proper performance of a public duty by a public body; or
- In pursuit of the legitimate interest of the responsible party or of a third party to whom the information is applied.
Entrance Tests
- The learner writes the test in the presence of the HOD or another staff member from the InterSen Phase so that the learner’s reading may be tested. The teacher/HOD will also ask the learner questions to determine if the learner understands and can communicate in English.
- Once the entrance test(s) are complete, the HOD or a relevant staff member will mark the tests. If a staff member marks the test(s) then the test(s) is returned to the HOD once marked.
- The cover sheet on the front of the test is completed by the relevant staff member who was present during the test.
- Accepted / Not accepted / Retest completed by the HOD in consultation with the deputy principal.
- The recommendation and/or restrictions, etc. will be recorded on the cover sheet.
- The deputy and principal meet to finalise the decision.
- The letter of acceptance is drawn up by the principal and is signed by the principal or deputy principal.

Decision And Next Steps
- Advising parents/guardians of decision:
- Negative decision – theDeputy Principal makes contact
- Positive decision – the Deputy Principal makes contact
- Retest – the Deputy Principal makes contact and a date is set for the retest
- Positive decision with restrictions/ recommendations – principal makes decision and a special conditional letter is given to parents/guardians.
- In the event of the learner not being accepted, the personal information must be securely destroyed or de-identified when St Thomas Aquinas school is no longer authorised to retain the recorded information.
- If the applicant is successful and is accepted into Saint Thomas Aquinas, the administration receptionist will put the documentation together for the parents/ guardians.
- This will include:
- The acceptance letter which will highlight restrictions/ recommendations, textbook and stationery lists and uniform list.
- R2 000 enrolment fee is to be paid into St Thomas Aquinas school account.

- The parents/guardians will collect the documentation.
- The bursar will inform the administration receptionist when the enrolment fee is paid.
- The administration receptionist will inform the HOD when the new learner will arrive.
- The HOD will assign the new learner to a class. The new learner will be added to the relevant class list.
- The completed application form will be handed in to the principals PA, who will enter the learner details onto SASPAC (digital documentation). The Hard copy with the required information for this specific learner at St Thomas Aquinas will then be stored in the learners’ Ed-lab in the Boardroom.
